VIP Client Support Manager: Business Assistant for CBDO

Location: Kyiv or Warsaw

Requirements:

  • 3+ years of work experience in Business Assistance or Customer Care

  • Hands-on communication with clients from the US and EU

  • Fluency in English B2-C1, along with Ukrainian language


Personality:

  • You are a People Person with an innate talent to connect with others

  • You are flexible at work and communicate with colleagues

  • Disciplined with a structured approach to work and life

  • Ideally, ESTJ, ENTJ, ISFJ, ENFJ, ESFJ, ESTP type


Nice to have:

  • Prior experience in the sphere of luxury or international customer care


Responsibilities:

  • Manage Incoming Requests at CBDO`s email, corporate email, corporate and personal WhatsApp, Instagram, incoming phone calls

  • Maintain a registry of all incoming requests: contacts, inquiries, status

  • Keep a registry of Commercial Proposals with all necessary information

  • Monitor and remind about the status of requests, ensuring timely responses

  • Prepare a monthly report on incoming requests

  • Create/maintain Client Contact Database: Permanent/Potential/Interesting clients

  • Prepare Commercial Proposals (you will be trained)

  • Send project plans to the Architect for estimation based on the Technical Specification

  • Verify the accuracy of calculations and estimation

  • Prepare and adjust the Commercial Proposal templates as needed

  • Systematize Initial Project Information: Create project folders and compile all initial project data into a single file for team use

  • Arrange Zoom meetings, book conference rooms, notify all participants, moderate meetings, and systematically store meeting records

  • Create WhatsApp groups for each new project

  • Distribute initial project data to the team

  • Technical Contract Work: Maintain a unified contract database; Scan and rchive old contracts; Print, scan, copy, and arrange courier delivery of contracts to clients as needed

  • Handle Phone Calls: Answer calls from the corporate number and direct them

  • Coordinate Contractor Requests
