Your mission will be to offer seamless, all-encompassing support — effortlessly managing both business duties and personal tasks — allowing her to navigate her dynamic life with ease and focus on making an even greater impact in both her professional and personal spheres
Must-haves:
3+ years of success as a Personal, Executive, or Business Assistant
Languages: German B2+, English B2-C1, plus Ukrainian or Russian
Ability to provide a “helicopter view” of multiple ongoing projects
Superb time management, confidentiality, and proactive mindset
Skilled in managing travel logistics, including flight arrangements
Expertise in using global hotel and apartment booking platforms
Stress-resistant with a strong “get things done” approach
Skillful typing, note-taking, and recordkeeping abilities
Discretion, diplomacy, and a problem-solving mindset
Exceptional verbal and written communication skills
Multitasking and prioritization superpowers

Responsibilities:
Act as the key point of contact between CEO, employees, partners, clients and contractors
Help to organize personal tasks: medical appointments, training, kids' activities, household chores, booking, etc.
Coordinate with other departments and external contacts via email, Teams, and messengers
Ensuring the CEO’s effective participation in meetings, with concise minutes and follow-ups
Participate in meetings with clients and contractors, acting as the CEO's representative
Managing the CEO’s ever-changing calendar and ensuring key priorities are met
Prioritize and organize incoming information accurately and efficiently
Managing incoming inquiries on LinkedIn, replying when necessary
Organizing travel arrangements and creating detailed itineraries
Drafting emails, presentations, and reports on behalf of the CEO
