Requirements:
Fluency in Ukrainian, and English at level C1
5+ years of proven success as Personal/Executive Assistant
Handling flight arrangements, American Express, leveraging Miles and bonus programs
Proficiency in hotel and apartment booking software worldwide
Exceptional time management skills and a proactive attitude
Commitment to maintaining utmost confidentiality
Mastery of Google programs: Calendars, Forms
Nice to have:
Positive mindset coupled with a discerning taste in art, cuisine, and travel
Anticipation of emerging needs to create extraordinary experiences
Passion for architecture, personal development, and well-being
Proficiency in business etiquette is an asset
Responsibilities:
Schedule management: meticulously plan CEO’s calendar
Organization: ensure CEO remains informed and prepared for critical engagements
Agilely coordinate 8 Scrum Teams (2-3 talents) for optimal collaboration
Travel coordination: handle all aspects of seamless travel arrangements
Documentation: prepare and process info materials and reports on behalf of CEO
Event insights: recommend relevant international exhibitions and conferences
Comfort assurance: ensure smooth and cozy processes for all stakeholders
Zoom call attendance: provide concise reports on meeting outcomes
Personal assistance:
Facilitate family travel arrangements: flight bookings, accommodations, and transport
Explore and recommend new dining experiences, premium hotels, and architectural marvels
Arrange appointments for SPA treatments, massages, and personal services
Procure and deliver food, gifts, and household items as required
Source and purchase branded items and clothing
Assist in visa applications and documentation
