Personal Assistant to CEO

Location: remote or Germany (ideally)


Are you a reliable personality with a positive can-do attitude?

We are looking for a Personal Assistant to the CEO of an IT company to perform a variety of administrative and personal tasks in a well-organized manner.


This role is a great opportunity to dive deep into the German business culture and gain extremely valuable experience working in a European software company. You will work on a one-to-one basis on a variety of tasks related to the IT industry and social communication. Ultimately, you will contribute to business efficiency by providing timely support directly to the CEO, and work as her trustworthy "right hand"


Requirements:

  • At least 1 year of proven work experience as a Personal/Executive Assistant, or similar role

  • Ability to define issues, collect data, establish facts, and draw valid conclusions

  • Outstanding organizational and time management skills

  • Familiarity office services: G-Suite, Jira, Microsoft Teams, etc.

  • Stress resistance and getting things done approach

  • Excellent verbal and written communications skills

  • Ability to multitask and prioritize daily workload

  • Discretion, confidentiality, and diplomacy

  • Patience, tact, and a keen eye for detail

  • A creative mind for problem-solving

  • Excellent knowledge of MS Office

  • Sense of humour is essential

  • Fluent English and Russian

Nice to have:

  • Ideally matching personality type: ISFJ / ESFJ / harmonious ISTJ

  • Mastery in docs/spreadsheets using MS Word, Excel, PowerPoint

  • Advanced typing, note-taking, and recordkeeping skills

  • Knowledge of German B2-C1 (ideally but not necessary)


Responsibilities:

  • Act as the point of contact among CEO, employees, clients, contractors, external partners

  • Manage CEO’s calendars and set up external meetings in harmony with corporate events

  • Help with planning personal tasks: medical checkouts, training & education, kids clubs, household chore, booking, etc.

  • Remind about planned meetings and take minutes

  • Manage information flow in a timely and accurate manner

  • Screen and direct phone calls and distribute correspondence

  • Communicate with other departments, clients and contractors via Skype, WhatsApp, emails, etc.

  • Make travel and accommodation arrangements

  • Preparing correspondence on the CEO’s behalf – emails, presentations, reports

  • Searching and putting together all the necessary data

  • Keep a track record of incoming inquiries on LinkedIn and answering if necessary
