🌍 Location: Warsaw

You’ll work closely with an experienced senior leader and gain practical exposure to operations, research, communications, and global projects
*If you have experience with around 50% of the responsibilities and are eager to learn – you’ll get the support and guidance to grow into the role
Requirements
3+ years of experience as an Assistant or in another relevant role
High-quality standards: attention to detail & ability to take a task through to completion
Strong communication skills and emotional intelligence – you can easily find common ground with contractors, clients, and top management
Proactivity and independence: you see what needs to be done → you take initiative
Structured thinking: you can keep track of several processes at once and set the right priorities
Resilience & flexibility (environment is dynamic)
Fluent Ukrainian & English (B2 or higher)
Nice to have
Tech-savvy: confident with digital tools and task trackers
Experience using AI to automate routine tasks
Driving experience and a valid driver’s license
Experience with travel management
Responsibility
Personal Support
Handle occasional personal requests and errands
Assist with personal appointments and day-to-day arrangements
Coordinate with service providers
Executive Support
Take over part of the senior leader’s routine requests
Coordinate communication with managers and teams
Keep track of agreements, responsible people, deadlines, and follow up on execution
Collect information from different departments and turn it into clear, structured summaries
Coordinate with top managers: collect status updates, provide support and follow-ups
Help organize meetings and projects
Research
Conduct high-quality research: find, verify, and structure the info
Compare options and prepare concise conclusions and recommendations
Find relevant contractors, agencies, consultants, speakers, and other partners
Collect proposals and handle initial communication
Communications & Content
Manage internal communications: prepare announcements, and help maintain positive corporate culture and atmosphere
Prepare clear and professional content: social media posts, formal letters, administrative requests, presentations, and info-materials
Respond to messages on the senior leader’s social media and prepare announcement posts
Assist with administrative paperwork
Employer Brand & Events
Contribute to the development of employer branding: generate ideas and help shape how the company communicates and presents itself externally
Support event management: monitor current trends in industry events, research and suggest speakers, and help organize conferences, exhibitions, and internal events
