🌍 Remotely | What You’ll Be Doing:
Executive & Business Support
Manage the calendar, meetings, appointments, and changing priorities
Coordinate communication with colleagues, partners, and service providers
Prepare professional emails, docs, presentations, materials, and summaries
Collect updates from different parties and turn them into clear, structured summaries
Research & Problem-Solving
Compare options, costs, conditions, and potential risks
Prepare concise conclusions and practical recommendations
Find relevant agencies, specialists, speakers, venues, and other partners
Check critical details directly instead of relying only on general info
International Travel & Coordination
Coordinate international business trips, meetings and commitments
Arrange flights, accommodation, transfers and support services
Assist with visas, insurance and other international documentation
Communicate with airlines, hotels, concierge services and local providers
Support international business meetings and selected events
Communication & Selected Personal Support
Prepare announcements, official requests, and invitations
Organize appointments, reservations, purchases, deliveries, and special occasions
Find reliable specialists and high-quality services in different countries
Help coordinate business and personal commitments when they overlap
Support selected social media and personal-brand communication
Requirements
3+ years of relevant experience in an assistant role
Experience coordinating international travel / cross-border arrangements
High emotional intelligence, diplomacy, and professional discretion
Flexibility to support urgent matters across different time zones
Excellent organizational skills and consistent attention to detail
Strong research, communication, and problem-solving skills
Calmness when plans change unexpectedly
Ukrainian and English B2+
Nice to Have
Confidence using AI for routine automation
Organizing executive meetings, conferences, or private events
Hands-on coordinating complex multi-city international trips
