Personal Assistant for CEO: Executive for Team

Location: Kyiv, partially remote


We are looking for a Special Talent who will support an administrative mission by directly supporting the CEO and team in many areas remotely and in the Kyiv office. Requirements:

  • 3+ years of successful work experience as an Executive Assistant

  • Exceptional communication skills: both verbal and written

  • Strong emphasis on follow-through and closing the loop

  • You are resourceful — no problem is unsolvable for you

  • You are a proactive, structured, but flexible individual

  • You are highly responsive and trustworthy

  • Uranian C2, English B2

SCOPE of RESPONSIBILITIES:


Support to CEO

  • Scheduling: control calendar and book meetings with all types of stakeholders

  • Business trips: everything to create seamless travel and living experience

  • Organization: ensure the CEO stays on top of the most critical projects, meetings, relationships

  • Search for the necessary information to prepare for the meeting

  • Research: identify the best products, vendors, services

  • Minutes of meetings: nothing falls through the cracks

  • Draft follow-up documents, letters, and messages

  • Communication with company’s Clients: docs and contractual issues

  • If necessary, cold contact with potential customers and partners

Team Projects:

  • Control timely performance of tasks by the team within the framework of project works

  • Communication with the company’s Clients regarding documentary and contextual issues

  • Translation (company has a native English-speaking Editor) and verification of docs in English and Ukrainian

  • Taking care of the general needs of the team and office

  • Administrative support of the entire team’s workflow

  • If necessary, help with translation during meetings

  • Documents preparation within tender proposals
